Facility Use Terms and Conditions

Thank you for your interest in the Danville Science Center. This information is provided in order to familiarize you with our operational policies and procedures. Space at the Danville Science Center may be reserved "as available" for regularly occurring meetings or one-time events. We believe that a clear understanding by all parties of what may be expected by and from the Danville Science Center will help in ensuring an enjoyable, smooth-running event.

As the licensee of the facility, you agree that you, your guests and vendors will help maintain the quality of the Danville Science Center by treating all areas with respect.

Reservations and Fees

Reservations

To reserve space at the Danville Science Center for use at a particular time on a particular date, we will require a completed Facility Use Application and payment of the reservation fee. The Facility Use Application may be obtained on-line (click here) or by mail from and returned to:

Our telephone number is 434-791-5160. Your reservation must be confirmed in writing by the Danville Science Center to be valid.

Facility Use Fee and Reservation Fee: The facility use fee is for the use of space at the center. Additional time for setup, takedown or service for event will be calculated at $25 per hour. Everything having to do with your event must take place during these times as specified in the Facility Use Application. Please be sure all parties understand exactly what hours are designated for setup and cleanup, in order to avoid early arrivals and tardy departures.

Please understand that you, the Licensee, are accepting responsibility for the actions of your guests and vendors as well as yourself, and you may be held responsible for any damage or excessive clean-up caused by your organization's actions or lack of actions. Please understand further that, in all cases, the extent of the damage and/or clean-up, and the reparation therefore, will be determined solely by the Danville Science Center, and will not be subject to arbitration or negotiation.
 
Parking: We have parking available on the premises at no extra charge.

Entertainment: All musical events will comply with the state and federal laws and legislation regarding the licensing of music for public use.

Illegal Substances: The Danville Science Center forbids the use or possession of illegal drugs or substances on its premises, in its facility, and/or in the parking area(s).

Alcohol: The Danville Science Center will require proper licensing for all events which include alcoholic beverages. The licensee will be responsible for obtaining the license and providing it for posting during the event. A copy should be provided to the Danville Science Center in advance of the event.
You are, and agree to be, responsible for your guests' and vendors' compliance with all pertinent laws, ordinances, and governmental regulations in connections with the services and consumption of alcohol during your event. The Danville Science Center will take the steps necessary to protect its property and fine reputation, including asking you to remove any disruptive guests, calling law enforcement authorities, and/or closing the facility and terminating the event.

Smoking: The Danville Science Center is a non-smoking facility.

Food and Beverages: Food and beverages are not allowed in exhibit halls.

Staff: The charge for Danville Science Center personnel at your event is $25 per person, per hour.

Clean-up: Our goal is that your group will leave the facility and parking area(s) in the same condition in which they were found. You, the Licensee, are accepting responsibility for any damage or excessive clean-up. You are also responsible for being certain that all belongings of your group and/or vendors have been removed by the end of the clean-up time. Please check the space for personal items and decorations that may have been left behind. Please check the vendor guidelines for additional information regarding clean-up.

Vendors: With the Danville Science Center's approval, you are welcome to bring in the professional vendors of your choice.
You, the Licensee, are accepting responsibility for the actions (or lack of action), activities, and attitudes of your guests and vendors. "Vendor Guidelines" are provided herewith. Please familiarize yourself with them. Please provide all vendors a copy of the "Vendor Guidelines"; we are please to provide as many copies as necessary. We reserve at all times the right to remove any unmanageable vendor personnel.

Decorations: In the interest of reducing the risk of fire, we will require that all flames be glass-enclosed, and that it be located only on food tables and tables at which your guests are seated. Hurricanes and votives are allowed, unenclosed candles are not. Please note that all decorations must be removed during the clean-up time. Should the Danville Science Center have to remove them, we will charge your deposit $25 per man-hour for removal.

Publicity: Any announcements of your event that you make in newspapers and/or other media (copy for advertisements, brochures, media statements, publicity releases, etc.) must have the written approval of the Danville Science Center in each instance.

Sales: Nothing may be sold on the premises of the Danville Science Center without our written approval. If we consent to the sale, you, the Licensee, agree to be responsible for the collection and payment of all applicable sales tax.

Final Review: You will need to provide the Danville Science Center, no less than 10 days prior to your event, a review of all arrangements pertinent to your event.

Indemnification and Non-Liability: You, the Licensee, hereby indemnify and hold harmless the Commonwealth of Virginia and the Science Museum of Virginia/Danville Science Center, its staff, contractors and employees from suit, actions, damages, liability and expense in connection with personal injury, illness, death, property damage or theft resulting from the use of any space at the Danville Science Center. By accepting the terms of the Terms and Conditions and herein, you, the Lessee, cannot hold the Danville Science Center responsible for failure to provide the basic facilities and services described here due to emergencies, catastrophes, or interruption of public utilities beyond the Danville Science Center's control.
The Licensee will accept full responsibility and liability for any loss or physical damage to any exhibit or other Science Center property arising from or in connection with the above described event, other than any such loss or damage caused by the fault or negligence of the Science Center. The Licensee also accepts full responsibility and liability for any and all personal injury or property damage to anyone arising from or in connection with the above described event, other than that caused by the fault negligence of the Science Center; and indemnifies and holds the Science Museum/Danville Science Center and its agents harmless against any and all claims, costs, losses, and liabilities including legal fees related to such personal injury or property damage. Further, it is recommended that the Licensee maintain a policy of comprehensive public liability insurance with a limit of no less than One Million Dollars ($1,000,000.00) per occurrence to protect the Licensee and the Science Museum/Danville Science Center and its agents against any claims based on such personal injury or property damage.
