Vendor Guidelines
We look forward to working with you to provide a delightful event for your client, and believe the first step toward that end is a clear understanding by all parties of what may be expected of and by the Danville Science Center. Please familiarize yourself with the policies contained herein, and call the Danville Science Center at 434-791-5160 if you have any questions or concerns.
Security Officer(s): Each event will have at least one security officer who is a member of our staff. Please check in with the designated employee immediately upon arrival. He is responsible for providing instructions and access to you. Please remember at all times that the security officer is charged with the responsibility of protecting the premises, the general well-being, and the fine reputation of the Danville Science Center, and represents the authority of the Danville Science Center during your client's use of the facility. The security officer is expected at all times to follow the policies of the Science Center regarding your client's event. He will be here from the beginning of the set-up to the end of the clean-up, and will: provide instructions to you and access to various parts of the facility; assist in managing the flow of guests; routinely patrol the premises; and close and lock the facility when the event is over. It is to the security officer that you will need to immediately report any accidents, injuries or damage. Please note that the security officer is not retained to assist the vendors or clean-up after the event, and he has the authority to remove any unmanageable vendor personnel at any time.
Facility Use Hours: You may enter the facility on the day of the event at the time indicated on the Facility Use Application. Please do not arrive early and anticipate early admission to the facility. Please be sure that you are clear with the client about the time at which you should arrive and the time by which you must depart.
Restricted Areas: The Danville Science Center will strictly control access to the facility. The responsibility for controlling access lies with the security officer, and you and your staff must respect his instructions.
Deliveries: All deliveries, including that of rental goods, must take place during the client's use You must provide any dollies or other equipment required for off-loading. Please remove your vehicles quickly to make room for other vendors' delivery vehicles.
Decorations: We welcome your decorations, and anticipate that you will install them with ribbons, strings and pipe cleaners, rather than nails, tacks, tapes, wires, or any other potentially damaging devices. Absolutely nothing may be hung on our walls.
Please be sure all decorations are removed prior to the end of the clean-up period. Should we have to remove them, we will charge your client's security deposit $20 per man-hour for the removal.
We do not allow open flame at the Danville Science Center. All flame must be glass enclosed and placed only on food tables and tables at which the guests are seated. Your client should be thinking in terms of hurricanes and votives if candlelight is desired.
Clean-up: It is our goal to provide you with a clean, neat facility, and to receive back from you at the end of the use period a clean, neat facility. We will provide our staff on duty a clean-up checklist, and she will go over it with you at the end of the clean-up time.
